Are you a master multi-tasker with a sixth sense for finding people who vanish before important meetings? Do you have the diplomatic skills to shepherd a leadership team, the discretion of a secret agent, and the ability to keep a smile on your face – even when you want to fit an air-tag to the Principal? If so, St Augustine’s College wants you!

We’re seeking a highly organised professional to provide exceptional executive support to our Principal and help keep a dynamic College running smoothly.

About the Role

Reporting to the Principal (when you can find them), you will be the trusted first point of contact for the Principal’s Office and the glue that holds our leadership team together. You’ll provide high-level executive support, manage complex schedules, prepare high-quality documents and correspondence and ensure meetings, communications and events go off without a hitch (or at least with minimal chaos)

Key responsibilities

  • Executive support and prioritisation — manage the Principal’s calendar, inbox and daily workflow; triage issues, draft responses and prepare briefings – sometimes while simultaneously tracking down the Principal for their next meeting
  • Governance & meetings — coordinate agendas, assemble papers and record accurate minutes for key forums (e.g. leadership/staff meetings and College Board reporting); track actions to completion, and occasionally herd cats.
  • Professional correspondence & stakeholder care — draft, proofread and format communications for internal and external audiences; liaise discreetly with parents, staff, partners and community representatives – always with a smile.
  • Events & protocol — support Principal-hosted events and engagements, including logistics, protocols and guest liaison; arrange travel and itineraries (and maybe a GPS tracker for the Principal).
  • Office excellence — uphold professional standards for records, files and information flow; maintain confidentiality and data integrity across all activities.

About You

You’re poised, discreet and proactive – an experienced Executive Assistant who thrives on keeping many balls in the air (and rarely drops one). You have a knack for anticipating needs, a talent for organization, and a sense of humour that helps you breeze through even the busiest days.

You will bring:

  • Significant recent experience as an Executive Assistant supporting a CEO/Principal or senior executive in a complex, high visibility environment.
  • Demonstrated discretion and sound judgement handling sensitive information and matters of a confidential nature
  • Exceptional attention to detail in drafting, formatting and quality assuring documents, agendas, minutes and presentations.
  • Outstanding organisation and follow through — able to manage competing deadlines and anticipate needs.
  • Strong communication skills (written and verbal) with a warm, professional style.
  • Previous experience in a school would be highly regarded
  • Advanced Microsoft 365 skills (Outlook, Word, PowerPoint, Teams/SharePoint); confident with document templates and minute-taking.
  • Alignment with the values and ethos of a Catholic school in the Augustinian tradition.
  • You hold, or be eligible to obtain, a paid Working with Children Check

Requirements

  • Current NSW Working With Children Check (paid worker), or eligibility to obtain, and a commitment to the College’s Child Safe practices.
  • Full, unlimited work rights
